Who we are

ProntoCoach is an intelligent coaching platform for online fitness coaches and coaching businesses. This policy explains how we handle personal data when you visit prontocoach.ai, request a demo, or use the ProntoCoach platform as a coach or a coaching client.

Data we collect

We collect only what we need to provide and improve the service.

• Demo requests: name, email, business name, website or social handle, approximate client and team size, coaching type, and what you would like help with.
• Platform accounts: login email, profile details, and the organisation you belong to.
• Coaching data entered by coaches and clients: programmes, check-ins, training logs, metrics, progress photos and messages.
• Technical data: IP address (stored in hashed form for abuse prevention), browser type, referring page and campaign parameters.

How we use it

We use personal data to respond to demo requests, operate the platform, prepare AI-assisted recommendations for coach review, keep the service secure, and communicate about your account. We do not sell personal data.

AI-assisted coaching

ProntoCoach uses AI models to help prepare recommendations from a coach's methodology and a client's history. Recommendations are reviewed by a human coach before they reach a client. Client data is processed only within the coaching organisation it belongs to and is never used to train models shared with other organisations.

Legal basis and retention

We process demo requests on the basis of your consent and our legitimate interest in responding to enquiries. Platform data is processed to perform our contract with the coaching organisation. We keep demo request data for up to 24 months unless you ask us to delete it sooner, and platform data for as long as the organisation's account remains active.

Sharing and processors

We use trusted service providers for hosting, database infrastructure, transactional email and AI model access. Each processes data on our instructions and under contract. Coaches can see data belonging to their own clients only; clients can see only their own data.

Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to or restrict processing, and to withdraw consent. To exercise these rights, email hello@prontocoach.ai.
